Knotly makes invitation websites for wedding planners. This page explains what personal information passes through Knotly, why, where it is kept and what you can ask us. It covers this website, the apps we run for planners under their own name and address, and the invitation pages that guests open.
Who is responsible
Knotly is run from Beirut, Lebanon. You can reach us at info@knotly.me.
When a wedding planner uses Knotly, the planner decides whose details are added (the couple, their families and their guests) and what they are used for. For that information the planner is responsible, and we handle it only to provide the service to them, following their instructions. If you are a guest, the quickest way to have your details changed or removed is to ask the couple or their planner. You can also write to us and we will act on it or pass it on.
For this website, and for the accounts of planners and their teams, Knotly is responsible.
What we hold
People who sign in: planners, their teams and couples
- Name and email address, and the role given to each person on each wedding.
- A record of actions that matter for teamwork, such as who sent an invitation and when.
- If you sign in with Google: only the name and email address Google shares for signing in. We do not ask for access to your Gmail, contacts, Drive or anything else. Our use of information received from Google follows the Google API Services User Data Policy, including its Limited Use requirements.
Guests
Added by the planner or the couple:
- the names of the people invited, and the name of the household or group;
- a phone number and sometimes an email address, used to send the invitation link;
- which events each guest is invited to, and how many seats;
- groups and notes the team keeps for itself.
From the guest's own invitation page:
- whether the invitation has been opened, and when;
- the answer for each event, the names of those coming, and any message left for the couple.
Wedding content
Event details, texts, photos and music that the planner or the couple upload for the invitation.
This website
This website sets no cookies and uses no analytics or advertising tools. If you write to us, we keep your message and email address to reply.
How it is used
- To show each guest their own invitation and record their reply.
- To let the planner's team and the couple manage guests, send invitations and follow replies.
- To sign people in and keep accounts secure.
We never sell personal information, never use it for advertising, and never contact guests for our own purposes.
Invitations are sent from the planner's or the couple's own WhatsApp. Knotly opens WhatsApp with the message ready and the person sending presses send. The message then travels through WhatsApp, under that person's account and WhatsApp's own terms. Knotly does not connect to WhatsApp and does not read conversations.
Where it is kept, and who helps us
- Database, sign in and uploaded files: Supabase, in Frankfurt, Germany, in the European Union.
- Hosting of the apps and pages: Vercel. The application runs in Frankfurt; pages are delivered from servers close to each visitor.
- Sign in codes sent by email: an email delivery service, currently Supabase.
- Google, only for people who choose to sign in with Google.
These companies process information on our behalf, under their data processing terms, and only for the purposes above. Fonts and images on our pages are served from our own addresses, so opening a page does not contact Google Fonts or other third parties. A map link in an invitation opens a map service only when the guest taps it.
Guest links
Each guest's invitation link is personal: anyone who has the link can open that invitation, so it should not be shared. Invitation pages are kept out of search engines, and the link is not passed on to other websites.
How long we keep it
- Weddings and guest lists are kept while the planner uses Knotly. Planners and couples can delete guests and other items; deleted items first go to a trash, where they can be restored.
- When a planner's service ends, we delete their weddings, guest lists and uploads within 90 days, after giving them the chance to export them.
- Backups are kept for up to 7 days.
- Emails sent to us are kept for as long as we need them to answer and to keep our business records.
Security
- Each planner's information is kept apart from every other planner's in the database itself, and each couple sees only their own wedding.
- Every connection is encrypted. Signing in uses one time codes or Google, so we store no passwords.
- Access to our systems is limited to the people who run Knotly.
Your rights
You can ask to see, correct or delete personal information about you, or object to how it is used. Guests can write to the couple or their planner, or to us at info@knotly.me. We reply within 30 days. If you live in the European Union, you can also complain to your data protection authority.
Children
Knotly is used by planners and by adults organising a wedding. A guest list can include the names of children when a family is invited; that information is added by the planner or the couple and treated like any other guest information.
Changes
If we change this page in a way that matters, we will update the date at the top and tell planners directly. Questions: info@knotly.me.
